Responsible for accounts payable, account reconciliations, and other accounting, administrative, and financial support as needed.
Responsibilities:
Accounts Payable
• Open, sort and distribute incoming invoices to approving authorities
• Enter approved and coded invoices into Financial Edge accounting system
• Process the weekly check run, match to invoices and submit to authorized signers
• Mail checks and file documents in vendor files
• Research invoice issues from vendors and internal departments
• Prepare Accounts Payable aging report reconciliation for review by the Controller and auditors
• Create and maintain a consistent file of vendor information (new and existing) with appropriate tax documentation
• Process domestic and international wire payments and ensure their delivery
• Prepare Form 1099 reports annually
Cash Handling
• Responsible for weekly cash orders and change deposits for the Admissions Department, Museum Store, and Finance
• Create weekly journal entry to record all cash handling transactions
• Participate in quarterly cash counts for Admissions and Museum Store
Financial Analysis
• Oversee corporate credit card accounts, collecting expense reports with receipts
• Monitor employee advances, reimbursements, and offsets
• Analyze and reconcile suspense accounts, prepaid expense balances, payables, and accrued expenses as assigned
• Journalize departmental expense allocations for postage, courier, cab service, and miscellaneous shared accounts
• Manage various projects and assignments as directed, including monthly financial reporting, annual audits, and annual tax/statutory filings
Administrative Support
• Assist in maintaining office supplies and coding invoices for office supplies
• Maintain postage machines; refill postage funds and assist in troubleshooting
• Assist in maintaining FedEx and UPS supplies
• Provide administrative support to CFO, Controller, and Accountant, as needed
• Assist the finance office with other tasks and projects, as needed
• Accounting education or equivalent experience (minimum Associates degree preferred but not required)
• Intermediate knowledge of Excel
• Familiarity with accounting principles and accounting software
• High degree of integrity, and discretion with confidential information
• Strong organizational skills and attention to detail
• Strong communication and customer service skills
• Ability to work as a team player
