Position Title: Museum Exhibitions and Programs Coordinator

Summary
Under the supervision of the Museum Director, the Exhibitions and Programs Coordinator is responsible for the coordination of museum special exhibitions, rotations of permanent collections (to include Byzantine Main and Courtyard Galleries, Textile Gallery, Bliss Gallery, Orientation Gallery, and Pre-Columbian Galleries), and any installation changes within the Museum’s permanent galleries. The Exhibitions and Programs Coordinator assists with the exhibition-making process from development and design to building and installation, monitors the display throughout the run of an exhibition to determine if maintenance is necessary (on AV equipment, labels, etc.), and de-installation. The Exhibitions and Programs Coordinator may also coordinate all museum-related special events, public programming, and academic initiatives, and creates and distributes museum-related press, marketing, and promotional materials.
Duties and Responsibilities
This position assists with the coordination of temporary and permanent exhibition projects and supports the administrative needs of the museum’s exhibition and public programs.
- Work closely with the Museum Director and curatorial team to assist with exhibition development and design to ensure that all projects progress smoothly and punctually.
- Monitor exhibition-making process from conception to installation and de-installation; prepare exhibition checklists; generate and maintain schedules and timelines.
- Assist with exhibition construction, mount-making, installation and de-installation; draft scaled gallery plans and elevations; fabricate full-scale mock-ups and case layouts; design and configuration of multi-media exhibition elements.
- Design, copy-edit and produce interpretive and promotional material including wall didactics, brochures, educational guides, press releases, and web content for the museum website. Manage museum mailing list.
- Working closely with the Museum Director to handle contracts, vendors, and accounts/payments related to exhibitions; collect samples and handle exhibition supplies.
- Support museum team meetings by creating agendas and meeting materials, taking minutes, preparing PowerPoint presentations, and other tasks as needed.
- Assist with review of exhibition-related marketing and merchandising material, as well as catalog and other collateral material submitted for approval.
- Assist with long-term projects, such as creating new manuals, organizing existing materials, and establishing protocols for archiving exhibitions.
- Assist with planning and implementing museum public programs and events. Collaborate with the Events Manager and Facilities staff; track event budgets; manage guest lists, design and send invitations, process RSVPs, and answer public inquiries.
- Book travel and assist the Events Manager with arranging accommodations for public program speakers, facilitate honoraria payments and reimbursements, and serve as the point person for visitors.
- Participate in training Docents and Gallery Attendants.
- Provide administrative support to Museum Director as necessary.
Qualifications
- 2-3 years of experience in exhibition coordination or related field, including ability to handle and prioritize multiple projects.
- Experience in providing administrative support.
- Computer proficiency (Office suite, as well as Photoshop, Illustrator, and Sketch Up); experience with Mac; working knowledge of database management software (Filemaker Pro, Excel).
Additional Qualifications
- B.A. degree in art-related field or Museum Studies preferred. Knowledge of museum standard practices preferred.
- Superior organization skills and attention to detail; demonstrated ability to act with initiative, resourcefulness, flexibility, and discretion.
- Ability to work under pressure and meet deadlines.
- Excellent written, verbal, and interpersonal communication skills.
- Ability to work independently, as well as part of a team.
