The Conference and Events Coordinator is required to plan, organize, market, and co-ordinate conferences and special events. The Conference and Events Coordinator works with event planning committees and reports the Executive Director. This job is primarily office based but does require some travel.

Primary Responsibilities

    • Meet with sponsors and organizing committees to plan the scope and format of events, to establish and monitor budgets and to review administrative procedures and progress of events
  • Develop and implement a marketing plan
  • Meet with host city professional associations, and artist/sculptor groups to promote and discuss conference/event services
  • Co-ordinate services for events, such as accommodation and transportation for participants, conference and other facilities, catering, signage, displays, translation, audio-visual equipment, printing and security
  • Organize registration of participants, prepare programs, develop promotional material and publicize the event
  • Plan entertainment and social gatherings for participants
  • Assist in recruitment, training and supervision of support/temporary staff or volunteers
  • Maintain financial records and prepare reports

Employment Requirements

  • BA required
  • Strong background in programming required
  • Experience in conference and event planning
  • Non-profit experience preferred
  • Art/art history/gallery experience preferred
