One of the newest museums in New York City, the Rubin Museum of Art is dedicated to creating a dynamic environment that stimulates learning, promotes understanding, and inspires personal connections to the idea, cultures, and art of Himalayan Asia. Now in its tenth year, the Rubin Museum welcomes over 175,000 visitors annually and has 4,000 members. The Rubin Museum’s preeminent collection includes works of art from present-day Afghanistan, Bhutan, China, India, Mongolia, Nepal, Pakistan, and the Tibetan Plateau. The pace is lively with more than ten changing exhibitions and more than 250 films, concerts, and on-stage conversations a year.
The Museum has set as one of its top priorities for the next three to five years building a broader and deeper base of financial support. This position will play a critical role in helping the Rubin increase the number of people who support the Museum at all levels.
We are looking for an individual with experience and a track record of working in fundraising and research in support of individual donor and major gifts programs. Vision, creativity, initiative and an entrepreneurial spirit, combined with strong project management, organizational and communication skills are important in this position.
Reporting to the Head of Individual Giving & Major Gifts, and working closely with the Director of External Affairs, the Assistant Manager coordinates the Museum’s individual giving development effort, and helps manage and coordinate the annual Gala, the Asia Week/Spring Reception, and major donor cultivation events.
Responsibilities
Responsibilities include but are not limited to the following:
Individual Giving & Major Donor Fundraising
• Responsible for all research on individual donor prospects, compiling profiles, and wealth giving capacity data. Takes the initiative to find prospects and new donors based on the full range of exhibitions, programs and education/community access initiatives and priorities the Museum offers.
• Drafts correspondence to major donors and prospects, including invitations, follow up to meetings, and cover letters to proposals.
• In coordination with Institutional Giving Team, drafts and/or edits funding proposals
for Exhibitions, Education and Programming initiatives.
• Maintains and deepens relationships with current donors through personal meetings, invitations to events and openings at the Rubin, mailings, etc.
• Implements and oversees a communications strategy for donors to receive regular updates on Museum activities and special initiatives.
• Helps execute special campaigns (Endowment, Annual Fund, year-end appeals, etc.)
• Responsible for all gift entry and acknowledgements for individual donations and produces financial/income reports as needed.
• Helps manage the Museum’s Individual Giving budget and revenue goals, including management of paying invoices, tracking expenses and results to goals.
• Updates donor trackers as needed and maintains Major Donor Project tracker.
• Supports the Head of Individual Giving in planning and launching a Travel Program for the Museum.
• Supports the Head of Individual Giving in building the Museum’s Planned Giving Program, including maintaining webpage, mailings, cultivation of prospects, events at the Museum, etc.
Museum Cultivation and Fundraising Events
• Working with the Development Team, the Assistant Manager plays a supportive role in executing donor cultivation events based on upcoming and current exhibitions and programming.
• Supports development event-related responsibilities (research, outreach, committee activities and logistics planning):
Annual Asia Week/Spring Reception
Annual Gala
Fall Cultivation event
Other major donor cultivation events, such as post-Program receptions and dinners, etc.
• Executes invitations, outreach, RSVP process, and follows up as needed for major donor cultivation events.
• Collaborates with Special Events department on all programmatic and logistical elements of cultivation events.
Additional Responsibilities
• Supports Director of External Affairs on Board Committee work (Nominations/Governance and Development Committee)
• Requests and directs volunteers for assigned special projects.
• Provides general administrative support, and performs other duties as assigned.
Qualifications:
• Bachelor’s degree required.
• Three to five years of experience with fundraising, preferably in an arts and culture non-profit.
• Excellent organizational skills and an eye for detail essential. Must be able to keep deadlines.
• Outgoing personality, enjoys working with people, creative and energetic, able to juggle many balls at one time and enjoys a fast-paced environment.
• Excellent judgment, interpersonal, oral and written communication skills to deal with the public as well as with colleagues.
• A self-starter and team player with a “can do” attitude.
• Ability to act with diplomacy and discretion at all organizational levels, work with a wide range of information, organize details and meet deadlines under pressure.
• Exemplary computer skills in MS Word, Excel, Outlook, PowerPoint, and with Internet.
• Knowledge of fundraising database system Raiser’s Edge is essential.
• Flexibility to work evenings and weekends.
Salary:
• Low to mid – $40k range commensurate with experience.
