The Director of Operations is responsible for the overall smooth operation of the museum’s facilities, security, maintenance, on-site food vendor and engineering. Negotiates and administers building service contracts and supervises all contractors and specialized laborers with respect to work on the physical facilities. Oversees the daily operations of the PDC, liaising with PDC management, security and facilities, marketing, public relations, exhibition and store management staff for the operation, effective programming and marketing of this facility. Manage department budgets, and all capital improvement projects.
Essential Functions:
- Responsible for developing and maintaining a security program designed to protect all items on the museum premises including works of art, equipment, supplies and furnishings, as well as ensuring the safety of all museum personnel and visitors.
- Oversee the general maintenance and repair of MOCA’s facilities (Grand Avenue locations and The Geffen Contemporary, and MOCA Pacific Design Center), including an ongoing preventive maintenance program for security, fire/life safety and all mechanical systems.
- Responsible for ongoing review, update and testing of emergency preparedness plan.
- Initiate research into comprehensive energy management system.
- In collaboration with the Chief Financial Officer, initiate, negotiate and administer building and service contractual agreements with regard to security, maintenance and engineering, and all capital improvements. Prepares bid specifications as necessary for all such contracts and coordinates scheduling and logistics of all such work.
- Working closely with the Director of Collections and Registration, Chief Curator, and Manager of Exhibition Production, take steps to reduce the risk of a loss or damage to any artwork in the museum’s collection or on loan to the museum.
- Ensure museum compliance with all relevant codes.
- Collaborate with other museum departments to ensure that necessary technical and logistical support is available and functioning when needed. Coordinate physical changes to staff offices.
- Oversee all aspects of planning and organization for MOCA Pacific Design Center, including developing and managing the MOCA PDC operations budgets in coordination with the Chief Financial Officer. Create the annual MOCA PDC Operating Plan document and coordinate its approval with PDC management. Maintain adherence to agreements and contracts with the Pacific Design Center. Ensure museum compliance with all relevant codes. Collaborate with other museum departments to ensure that necessary logistical support is available and functioning when needed, including all non-exhibitions related audio-visual requirements.
- Working with the Operations-Events Coordinator to coordinate all appropriate Museum departments and services related to events including, but not limited to, Security, Engineering, Education, Exhibitions and Visitor Services as well as informing surrounding businesses and government agencies of Museum activities which may have an impact outside the facilities.
- Working in concert with MOCA Development and an outside production company, collaborate with the planning, management and production of MOCA’s annual fundraising gala.
- Oversee daily operations of the on-site café and serve as the primary contact for all food service needs. Maintain adherence by vendor to the exclusive food service agreement.
- In collaboration with Communications and Visitor Services, monitor content of all signs in public areas and work with other departments to coordinate requests for signs in public areas.
- Interface with all City agencies that have jurisdiction to ensure all events comply with City regulations. Agencies can include, but are not limited to, the Los Angles Department of Transportation, Special Events, Fire Department, Police Department, Department of Building and Safety and the Ninth District Council Office.
- Serve as the Museum’s liaison with surrounding downtown businesses, residences and government agencies.
- Under the direction of the Director and the Chief Operating Officer, oversee future renovation or expansion of museum facilities. Work closely with architects, consultants, and contractors in coordinating the planning, design, and construction of these projects.
- Perform other related duties as required.
Job Requirements
Requirements:
Seven years’ experience in facilities/security management, including two years of supervisory experience, preferably in an art related non-profit organization. Working knowledge of building management, mechanical, HVAC, refrigeration and building control management equipment and systems, including knowledge of principles and practices of federal, state, and local law, code and regulations applicable to the work, and regulations applicable to safe work practices/procedures. Excellent communication skills and demonstrated leadership ability required. A bachelor’s degree in arts management or related field or equivalent work experience is preferred. Must be able to work evenings, weekends and holidays, and possess a valid CA driver’s license and good driving record.
