The Membership Coordinator serves as the primary gift processing and customer service representative for the ICA’s membership program.

Responsibilities include but are not limited to:

Member Services:

  • Prepare content for Direct Mail and Member eNews with Marketing Associate, prepare mailing and email lists for regular Direct Mail and membership sale initiatives.
  • Track and send University Membership renewals and organize University Membership collateral, emails and events under the direction of the Membership manager
  • Attend and assist at all First Fridays, Membership events, and oversee all Member Weekend Warm-Up events.
  • Oversee ICA Member Neighborhood Discount program including building membership, working with marketing to promote and maintaining relationships with current vendors.
  • Serve as the primary membership contact in providing customer service by responding to telephone, mail and internet inquiries concerning the ICA’s membership program; Work with Visitor Services staff to resolve routine member concerns on-site
  • Problem solve membership concerns and complaints and follow up with members in the form of mail, phone calls and email correspondence
  • Log and communicate membership concerns and suggestions in order to assess, recommend and implement improvements to the member experience at the ICA.
  • Send membership materials such as brochures, membership fulfillment materials, and replacement membership cards as needed
  • Maintain inventory of all membership collateral
  • Code incoming invoices and review monthly spending reports
  • Assist front desk attendants with admissions staffing periodically and serve as lead Membership representative for admissions during First Fridays
  • Perform any duties reasonably related to the day-to-day operations of the ICA’s membership program
  • Data Support:
  • Enter, post and process general membership gifts in Raiser’s Edge
  • Provide accurate daily membership deposits for Staff Accountant
  • Record all incoming membership gifts and maintain membership chronological files of daily postings and acknowledgements
  • Maintain and update member database records through entering new constituents, address changes and biographical changes in Raiser’s Edge

Qualifications:

  • Bachelor’s degree or equivalent experience.
  • 3 years of museum or administrative experience preferred
  • Strong customer service skills required
  • Data entry experience, experience with Raiser’s Edge and Patron Edge a plus
  • Windows, internet, and email literacy
  • Proficiency using Microsoft Word and Excel
  • Excellent attention to detail
  • Strong writing and editing skills
  • Strong interpersonal and oral communication skills
  • Well organized and able to meet deadlines
  • Ability to manage donor confidentiality
