POSITION SUMMARY

The Senior Manager of Facilities is responsible for working to maintain, in a hands-on manner, the overall efficiency and quality of the site and daily facilities activities to allow the Museum to carry out its mission and to provide an excellent Visitor Experience. This includes, but is not limited to, providing and maintaining a clean, safe and well-functioning environment and management of the Facilities staff and vendors. This full-time, exempt position reports to the CFO. The Senior Manager of Facilities will be required to work some weekend days and have the ability to be flexible/on-call. 

MAJOR RESPONSIBILITIES

Facilities & Maintenance (50%)

  • Utilize visitor feedback and annual site review to develop a facility plan that regularly assess, addresses and anticipates the facility’s effectiveness in providing the highest quality Visitor Experience and make necessary improvements in a timely and high quality manner-including capital needs and requirements.
  • Oversee acquisition, installation, operation, repairs, maintenance, and disposal of building systems, structures, permanent interiors, exhibits, furniture, equipment, grounds (including landscaping) and exterior elements.
  • Manage delivery of all facilities services.  Includes negotiating and managing all contracted services, administering all policies and procedures, vendor management.
  • While delivering the highest quality visitor experience, develop and implement practices for visitors and staff that promote and protect health, safety & security, quality of work life, the environment, and organizational effectiveness.
  • Develop and manage a comprehensive safety plan for the Museum including an injury and illness prevention plan.
  • Support Education and Development needs for events, programming, and festivals etc.

General Management (25%)

  • Provide day to day management of Facilities staff.  Provide management support to the Facilities Manager and oversee the hiring and management of Facilities staff.
  • Monitor staff performance, provide timely feedback, initiate progressive discipline as needed, and perform annual staff performance evaluations.
  • Manage the Museum’s relationship with key NPS personnel, Fire Marshal, Law Enforcement, and Special Events Permitting Staff. Oversee compliance with all Park Partners and co-operative lese requirements including maintaining records and producing required annual and project specific reports.
  • Manage the finances of the department, including preparation of an annual budget.
  • Train, manage and lead the Duty Officer Team responsible for site safety.  Ensure there are sufficient Duty Officers at all times.
  • Deliver the highest quality visitor experience through a well-maintained site and by modelling and adhering to the Museum’s customer service standards.
  • Model appropriate behavioral standards for staff; set pace for work quality and productivity.
  • Model, develop, and maintain a team-oriented environment; maintain effective lines of communication between staff and management.
  • Partner with Exhibits team on major exhibit changes.

Project Management (25%)

  • Plan and manage all phases of minor projects, including construction projects and renovations.
  • Track progress of projects and follow up on individual tasks as appropriate; adhere to deadlines, renegotiating timelines well in advance as needed.
  • Anticipate problems, proactively develop solutions, think creatively to push past roadblocks, and course correct as projects advance.

Requirements

QUALIFICATIONS

  • Bachelor’s degree or equivalent experience.
  • 5-7 years related experience in Facilities.
  • 5-7 years supervisory experience; previous success as a manager and inspiring leader.
  • Knowledge of good customer service principals.
  • Demonstrated ability to develop, monitor and implement budgets.
  • Ability to manage several projects at once and manage a complex project and program schedule.
  • Knowledge of tool and shop safety.
  • Knowledge of building systems.
  • Ability to troubleshoot and problem solve.
  • Tolerance of ambiguity, change, risk, rapid iteration and a fast-paced work environment; ability to manage pressure with sense of humor, perspective and strong prioritization, and positivity.
  • Exemplary communication and client relationship skills.
  • Demonstrated ability to function well as a self-starter, team member, problem solver and strategic thinker
  • Ability to work well with a variety of people from various backgrounds and cultures.
  • General comfort with technology and proficiency with Microsoft Word and Excel.
  • Valid California Driver’s License.
