Princeton University Department Art Museum - 41400 Position Summary The Princeton University Art Museum is looking for an experienced Facilities Manager to play an instrumental role in fulfilling and supporting a dynamic art museum program. The successful candidate will have the opportunity to work within the context of an art museum that is intimate in scale yet expansive in scope, supporting one of the most dynamic exhibition programs on any college campus and a program of educational activities and events that continues to grow in energy and impact each year. Specifically, we seek a facilities professional with excellent managerial and organizational skills who would like to join us in supporting the Museum's primary facility as well as associated satellite offices, art storage, and other facilities. Reporting to the Associate Director for Finance and Operations and supervising an assistant facilities manager and at least two facilities assistants, the successful candidate will coordinate all building maintenance, repair projects, renovations, moves, and transfers, working closely with University offices and directly with vendors and contractors. The successful candidate will have primary oversight for the Museum's physical plant and will be responsible for ensuring that exacting temperature and humidity standards are monitored and maintained, particularly for the Museum's galleries and art storage areas in multiple locations (a critically important function as the Museum houses irreplaceable collections of climate-sensitive works of art). The Facilities Manager is an integral part of the Museum's operations team and participates in event, exhibition, and space planning; oversees construction and painting of all gallery exhibition furnishings in consultation with other staff; and provides critical support for some 250 events annually. The Facilities Manager is also responsible for the maintenance and management of all of the Museum's non-art storage. The incumbent is also the Museum's Safety Manager and works to ensure compliance with local, state, federal and University regulations. The Facilities Manager is the primary contact for facilities emergencies. S/he is also responsible for developing and tracking all expenses and income incurred for an annual core departmental budget in excess of $175,000, as well as budgets for special projects. The Facilities Manager must combine a thoughtful, service-oriented, and detail-oriented approach with a firm understanding of relevant local, state, federal, University, and department policies. Additionally, the position requires exceptional problem-solving skills; the ability to plan, schedule, and manage multiple projects simultaneously; excellent leadership and interpersonal skills; a sincere commitment to teamwork; and the ability to communicate effectively with people at all levels. Principal Duties: - Responsible for all aspects of the Museum's core and satellite facilities, working closely with the Manager of Exhibition Services and his/her team, University offices, and with vendors and contractors. Responds promptly to all building-related requests from staff. - Works closely with the Associate Director for Finance and Operations and the Director to implement projects. For work not overseen by the University's Office of Design and Construction, serves as the "general contractor" for these projects. - Oversees event preparation, set-up, and break down for all Museum events. - Supervises at least two full-time employees, all casual and temporary facilities assistants, and provides Museum oversight for two full-time custodians. - Prepares departmental budget and budgets for construction and capital improvement projects. Secures competitive bids as needed. - Oversees compliance with University, local, state, and federal regulations. Serves as the departmental fleet representative. Essential Qualifications Required Qualifications: - Excellent understanding and knowledge of facilities issues including HVAC, electric, plumbing, painting, and carpentry; able to read schematic designs and blueprints - Significant leadership and team experience - Excellent verbal and written communication skills - Excellent organizational, project management, and interpersonal skills - Ability to solve problems creatively and formulate/implement process improvements - Ability to function effectively in a team-based environment - Ability to draw on the Museum's mission and strategic priorities to manage multiple priorities in a fast paced, changing environment, exercising independent judgment to plan and prioritize a diverse workload - Detail oriented, self-motivated, and able to take initiative, work independently from both written and verbal work orders, and accept responsibility for these work assignments - Experience in budget management, purchasing, and securing competitive bids - Proficiency in Microsoft Word, Excel, and Outlook as well as computerized purchasing systems - Valid driver's license - Ability and availability to work some nights and weekends - Responds to emergencies both during the day and after hours, as needed. - Stand or walk up to 2 hours at one time for 4 hours per day - Sit for up to 2 hours at one time for up to 4 hours per day - Operates motor vehicles or heavy equipment (e.g., forklift) occasionally - Lift or carry up to 100 pounds occasionally during periods of increase workload, lift or carry up to 50 pound frequently - Lift up to 100 pounds to waist height and up to 30 pounds in a range of motions from floor to overhead - Frequently use hands for simple grasping, fine manipulation, pushing or pulling - Occasionally squat, reach overhead, lift overhead, push or pull with forces up to 100 pounds - Frequently bend, kneel, climb stairs or ladders - Work on loading docks in a variety of temperatures and environmental conditions - Possess ability to work at heights, full range of body motions and physical agility, and ability to maintain balance. The final candidate will be required to complete a background check and post-offer, pre-employment physical screening successfully.
