Job Description
SUMMARY:
The Education Programs Coordinator supports the coordination and implementation of all Education program activities related to School Group visits to the Museum, Curriculum Connections, CC Outreach, Educator Professional Development programs, S.T.A.R., education partnership camps, classes and other critical educational programs.
ESSENTIAL FUNCTIONS (other duties as assigned):
Curriculum Connections in-museum and Outreach, and Educator PD events coordination includes:
- Processing and tracking all school registration data and providing administrative support all education programs as needed. Administrative support may include but is not limited to: receiving and processing email and telephone inquires from educators, inputting group visit and/or registration data into our CSM database; processing group payments; preparing confirmation letters and packets for mailing; answering voicemail, email and phone; preparing reports on group visit statistics; and preparing and distributing evaluation forms.
- Processing departmental payments to teaching artists and organizations in Reqlogic
- Coordinating requirements of guest artists and facilitator needs by providing resources, logistic and administrative support.
- Communicate with educators about in-museum programs, book contracted teaching artists, and serve as intermediary for information sharing about school groups’ curricular interests.
- Proactive input on website content for best communication to educators and program participants
- Assist with set up procedures, organization, and upkeep of classroom spaces and education supplies.
- Coordinate with museum events department and visitor services to ensure accurate and timely onsite set up for education programs.
- Assist with STAR music performance program coordination as needed.
Camp and Partner Programs
- Lead in coordinating partner organization participation for camps: including setting meetings, project administration, contracting, coordinating instructors, planning meetings, on-site coordination, debriefing meetings, reports.
General Duties
- Assist in day-to-day details of all museum education programs as assigned, including: coordination, schedules, venues, and resources. These include but may not be limited to creating set-up procedures and training VSR staff, for Curriculum Connections and other classes and workshops in collaboration with Events, Facilities, and Technology staff.
- Provide exceptional customer service to all of our guests including camp participants, parents, and internal clients
- Regular/predictable attendance
Job Requirements
- BA in education field or equivalent experience
- 3-4 years related work experience education/museum related, administration, customer service
- Prior event production experience a plus
- Strong MS Office skills, especially in Word and Excel,
- Excellent verbal and written communication skills
- Ease with technology essential (data collection programs, media and audio production, ipads, etc)
- Knowledge of or work experience related to public schools a plus.
- Knowledge or experience working in informal education environments (youth programs, camps, YMCA, museums, etc) a plus.
- Flexible schedule with possible Tuesday-Saturday schedule.
- Proactive, self-starter, resourceful, team member
- Ability to handle stress and stay organized, focused, even-tempered and congenial when faced with multiple deadlines with the ability to provide effective customer service for internal and external clients
- High level organizational skill and a strong attention to detail with the ability to create and maintain multiple documents and spreadsheets for tracking all production documentation
- Self-starter with the ability to juggle multiple projects, changing priorities and deadlines
