Mission:

The primary mission of the John F. Kennedy Library Foundation is to support the work of the John F. Kennedy Presidential Library and Museum whose core function is to collect, preserve, and make available for research the documents, audiovisual material and memorabilia of President Kennedy, his family, and his contemporaries.

The Foundation, representing a wide variety of constituencies within the general public, works closely with the National Archives and Records Administration to develop programs that advance the study and understanding of President Kennedy’s life and the times in which he lived; and that promote a greater appreciation of America’s political and cultural heritage, the process of governing, and the importance of public service.

In addition to its support of the Kennedy Library, the Kennedy Library Foundation directly sponsors programs and activities that help people understand the major challenges facing democracy today; that inspire current and future generations to political participation and public service; and that promote debate and discussion of issues at the heart of contemporary democracy that relate to the legacy of President John F. Kennedy.

Today, the Kennedy Library in Boston is one of the most visited of the 13 presidential libraries in America. Over 200,000 people from around the globe visit the museum each year, including serving over 30,000 students annually through a host of free educational programs.

Job Description:

The Foundation is seeking a highly motivated assistant to support the day-to-day administrative and projects of the three Senior Staff members at the Foundation. The Foundation always has a variety of projects to handle in many areas, which keeps the work fast paced and ever changing. Responsibilities may include:

  • General administrative duties, which may include making travel arrangements for staff and program participants, preparing expense reports and gathering invoices, failing, meeting preparation and event arrangements
  • Preparing reports and gathering statistical data
  • Completing research on a variety of topics
  • Assistance with maintaining Foundation permanent records
  • Assistance with the administration of Human Resources
  • Assistance with the coordination and orchestration of the Awards programs
  • Assistance with the preparation of materials for Board Committee and Committee meetings (i.e. finance, audit, investment, technology, programs)
  • Assist with the management of benchmarks established
  • Ensure high-quality and timely production of all project deliverables
  • Coordination of projects including research, writing, events planning, meeting planning, and follow-up as needed
  • Manage deliverables and timeline with internal and external stakeholders
  • Assist in the definition of project scope and objections
  • Develop a detailed plan to monitor and track progress
  • Manage change to project scope, schedule and costs effectively
  • Assisting with implementation of various projects
  • Assisting with the planning of events related to JFK’s Centennial in 2017
  • Support with Development activities as needed

This position will be exposed to business issues, project management, and general office administration. The ideal candidate will have a desire to develop their administrative, analytical and operational skills.

Qualifications:

  • Interest in the Nonprofit sector
  • Excellent written, verbal and interpersonal communications skills
  • Work experience demonstrating the ability to exercise a high degree of discretion
  • Ability to prioritize, meet tight deadlines, and effectively handle changing priorities
  • Highly organized and ability in managing multiple work assignments simultaneously
  • Ability to work both independently, with guidance and direction from manager, or as part of a team as the situation requires
  • Experience tracking project budgets and schedules
  • Available for certain events on nights and weekends
  • Computer proficiency and advanced skills in the use of Microsoft Office Suite (MS Word, PowerPoint, and Excel), Blackbaud (optional), Google, Adobe Acrobat Professional and other applications

Education Requirements:

  • Bachelor’s Degree
  • Minimum of 5 years’ previous experience as an Administrative Assistant, Project Management Assistant or transferable skills
