The Department of Marketing and Communications are seeking an Assistant to the Chief Communications Officer.
Job Responsibilities:
Provides assistance with media monitoring and reporting: monitors, compiles, and publishes media reports (daily, weekly, monthly) for staff and Board of Trustees to include press, advertising, and, social media channels; serves as liaison and manages quality control with external media monitoring vendor; and, compiles media reports (press, advertising, social, blog) for special exhibitions as specified. Provides administrative support to the CCO and the Communications and Marketing departments (schedules meetings, organizes travel, prepares expense reports, processes media and agency invoices, prepares correspondence, tracks vendor contracts, manages subscriptions and publications file). Answers phones for CCO and Communications department; responds to emails and assists with information inquiries. Provides data entry for in-house project management system (Rebus). Maintains automated phone line with press preview and RSVP information. Supports Communications staff as needed with mailings of press releases and invitations (Responsys). Assists in preparation of press materials for press previews and other events. Assists at press previews, film shoots, and other communications events. Reports to Chief Communications Officer.
Requirements:
Bachelor’s degree, with a concentration in communications, marketing, or business administration preferred, and two to three years prior experience in an office environment, or equivalent. Excellent organizational and administrative skills, including the ability to handle multiple projects simultaneously in a fast-paced and dynamic environment. Superior interpersonal and telephone skills for interacting with Museum staff, vendors, partners, and press. Experience with database and file management, Microsoft PowerPoint, Word, Excel, and Adobe Photoshop.
