Assists the Controller with overseeing the activities of the Accounting department to ensure that:

  • Accurate and timely financial data is available, so that sound financial decisions can be made, and
  • Activities within the Accounting department are in compliance with all appropriate control procedures and requirements.

    Supervises Accounting Associate responsible for daily cash receipts.

Job Requirements

General Accounting:

  • Assists Controller with month-end closing process:
  • Prepares journal entries and reviews and consolidates entries prepared by other Accounting staff.
  • Assists with analyzing monthly activity and the preparation of month-end financial reporting for management (Museum and Corning Incorporated).
  • Prepares monthly account reconciliations and reviews and consolidates those prepared by other Accounting staff.
  • Assists with the coordination of accounts payable and accounts receivable activities.
  • Oversees the expense reporting process.
  • Manages the cash receipts process.
  • Assists with year-end ledger accounting and aspects of the annual year-end audit.
  • Assists with managing the new vendor add process.

     

    Tax Accounting:

  • Assists with the preparation of support documentation and verifies preparation of tax returns and payment of taxes.
  • Coordinates the annual preparation of 1099 forms.

     

    Financial Planning:

  • Partners with all Museum staff in order to achieve departmental financial goals.
  • Assists with analyzing monthly activity, comparing results to budget and forecast.
  • Assists with the preparation of the annual operating budget and other financial analyses.
  • Assists in preparing financial reports for grant applications and final reports.

    Personnel:

  • Recruits, hires, supervises and coaches the Accounting Associate responsible for cash receipts.
  • Communicates regularly to the Controller on financial and accounting personnel matters.  Ensures adequate staff coverage to meet departmental objectives.
  • With the Controller, provides financial training and coaching to the Accounting and Museum staff.

     

    General:

  • Assists the department with documenting, implementing and reviewing accounting policies and procedures, and ensuring staff compliance.
  • Assists with Government Census Reporting requirements.
  • Assists Director of Finance and Controller with special projects as requested.
  • Maintains currency with all accounting principles including FASB requirements relative to not-for-profits, in order to ensure that policies and procedures are current.
  • Assists with monitoring and recommends improvements for all accounting systems including Blackbaud Financial Edge, Aestiva Electronic Requistion and ExpensAble Electronic Expense Reporting.
  • Ensures continuous improvement to all accounting system activities.
  • Assists with providing statistics for museum affiliations such as NYSAM and AAM.
  • Oversees department record retention requirements.

Qualifications and Experience

 

  • Bachelor’s degree in Accounting.
  • Minimum five years’ experience in a comparable position (non-profit accounting desired).
  • Supervisory experience
  • Proficiency with Microsoft Office products (e.g. Word, Excel, PowerPoint).
  • Extensive spreadsheet and modeling skills.
  • Excellent analytical and presentation skills.
  • Strong attention to detail and accuracy.
