Executive Assistant to the Librarian [The American Philosophical Society]

The Executive Assistant reports to the Librarian and assures the smooth functioning of the Librarian’s office. The primary duties of the position are:

  • Keeping the files of the Librarian’s Office organized and up-to-date
  • Maintaining the Librarian’s schedule
  • Preparing for and coordinating committee and other meetings
  • Attending meetings as requested by the Librarian, taking notes for future reference
  • Answering telephone calls
  • Making travel arrangements and reservations for the Librarian, staff, and guests as necessary
  • Composing, proofreading, and distributing notices of meetings, correspondence and reports as directed by the Librarian
  • Coordinating with the finance office about Library expenditures for such activities as ordering supplies and staff reimbursements
  • Periodic event planning
  • Other duties as assigned

Qualifications and Experience:

  • Minimum of 3 years’ experience supporting a senior level executive/manager, preferably in a non-profit organization, or 5 years or more of administrative work in an office setting;
  • Minimum of an associates degree or some college
  • Proficiency in Microsoft Office Suite and Google office products
  • Oral and writing skills
  • Detail oriented
  • Ability to multi-task and work independently while working cooperatively in a library environment
  • Familiarity with an academic environment
  • Familiarity with libraries a plus

Museum Education Specialist II [Maine State Museum]

The Maine State Museum is currently open five days a week; the position would be required to work some weekend and evening hours.
