The Center for Curatorial Studies at Bard College, 90 miles north of New York City in Annandale-on-Hudson, NY, seeks a full-time Museum Registrar to support an active collections and exhibitions program. Position Description:

Reporting to the Assistant Director of the Museum, the registrar will be responsible for collection management for a contemporary art collection and exhibition program associated with an ambitious graduate-level educational institution and contemporary art venue.

Responsibilities include registration of permanent collection objects and loans (acquisitions and accessioning, legal documents and agreements, documentation, receipts), filing condition reports; maintaining exhibition, insurance, installation and location records and histories. Development and implementation of inventory projects. Disseminating collection information to students, faculty, researchers, and staff as needed, within a collaborative teaching environment.

Database Management

•     Serve as primary collection management system administrator for Gallery Systems EmbARK, which includes data entry, setting data standards, report writing/editing, and clean-up

•     Ensure up-to-date access to the Web Kiosk for faculty, staff, and students

•     Update records including new acquisitions, location changes, value history, exhibition history, installation instructions, and surrogate and R&R information

•     Develop a procedural manual detailing protocol, standards, and reasoning based on collection history

•     Manage EmbARK to allow accurate statistics/data to be used for press and publication

•     Generate temporary loan database files for each exhibition, merge letters and forms, maintain agreements, requirements, and instructions from lenders

Collection Management

•     Co-manage the outgoing loan program from the collection, negotiate incoming loan agreements, arrange packing and crating, coordinate domestic and international shipping, and schedule courier travel as needed

•     Responsible for incoming and outgoing condition reporting for loans and new acquisitions

•     Risk management – arrange for Certificates of Insurance, file damage claims, participate in disaster planning and integrated pest management

•     Oversee handling, installation, and deinstallation

•     Co-manage services with conservators and framers

•     Manage  the  fine  art  storage  spaces,  including  housekeeping schedule  and access/security controls

•     Responsible for collection documentation, including digital image management

•     Handle image and rights & reproductions request

Job Requirements

Qualifications (Required):

•     Three – Five years of museum registration experience including supervising part- time art handlers and installation staff

•     B.A. degree required with specialization in contemporary art; M.A. degree preferred

•     Excellent computer skills including knowledge of EmbARK or TMS collection management software

•     Strong organizational skills

•     Ability to handle multiple projects in a timely manner

•     Excellent oral and written communication skills

•     Experience with multimedia works

Qualifications (Preferred):

•     Experience work both permanent collections and temporary loan programs

•     Familiarity with intellectual property issues

•     Experience with digital asset management

•     Evidence of successful project management and ability to plan, problem-solve, and work both independently and collaboratively.
