The HR & Accounting Associate assists with all aspects of Human Resources and provides accounting support. Working with the Manager of Finance and HR, the Associate coordinates recruitment and onboarding; handles all file documentation and maintains the employee handbook. As a member of the finance team, the Associate maintains accounts payables and cash disbursement systems in accordance with established policies and procedures. Also, assists in accounts receivables and cash receipts and provides back-up support to Manager of Finance and HR and Staff Accountant as needed.
Essential Functions/Accounting:
- Process vendor and contracted services invoices in accordance with EcoTarium procedures
- Process all aspects of accounts payables
- Maintain effective communication with vendors
- Reconcile and reimburse petty cash fund on a weekly basis
- Prepare daily accounting deposit for miscellaneous cash receipts
- Internal audit of daily register deposits from all points of sale
- Update and maintain cash log, cash receipts journals, and accounts receivable records
- Prepare invoices and monthly statements for accounts receivable
- Order all general office supplies and supplies for other departments
Responsibilities
Essential Functions/HR:
- Provide back-up to staff accountant for bi-weekly payroll processing
- Administration of CORI checks for staff and volunteers
- Maintain employee files ensuring that all files include proper documentation and that staff records are up to date and accurate
- Coordinate recruiting efforts, on-boarding and exiting processes
- Handle employee recognition and provide opportunities for employee education
- Maintain organizational personnel policies, procedures and employee handbook
- Represent the EcoTarium within the community and at professional meetings
- Participate in industry surveys and data collection
- Work with the Finance Department on all filings related to personnel
- Maintain all facility pass-keys
Qualifications:
- Minimum of an Associate’s Degree with related work experience
- PHR or SPHR certification preferred
- Excellent written, oral and interpersonal communication skills and demonstrated proficiency with digital-based technology (Harpers Payroll, Microsoft Office, QuickBooks)
- Ability to deal with confidential and sensitive information and develop and maintain positive interpersonal relations with all levels of staff, as well as project a positive and professional image
- Excellent customer service and math skills
- Ability to plan and organize work; meet deadlines; and be detail oriented
- Must pass CORI background check in accordance with EcoTarium guidelines
