Head of Special Events and Rentals
Overview:
Reporting to the Deputy Director for Operations, the Head of Special Events and Rentals (HSER) is responsible for managing the logistics and successful execution of events and private rentals at the Museum to achieve annual revenue goals. The HSER is responsible for engaging internal & external clients in order to sell event spaces, manage bookings, accurately securing dates on event calendar, and implementing and coordinating all event logistics from start to finish. S/he is also responsible for the hiring, scheduling, managing, and training of the special events staff and ensures the direct reports provide excellent customer service and an exceptional events experience at the museum. The HSER is expected to represent deCordova Sculpture Park and Museum with a high level of integrity and professionalism, adhere to museum policies and support management decisions in a positive and professional manner.
Essential Functions & Responsibilities:
· Maintain and execute a strategic sales and marketing plan to increase bookings, build visibility for museum event location, and continually enhance vendor relationships.
· Manage the Functions operation to grow revenue and profitability
· Track event rental revenue targets and budgets.
· Plan, coordinate, and execute both rentals and internal events in an effective, efficient, and creative manner.
· Communicate effectively in the planning and implementation of internal events; partner with internal departments to achieve quality event productions.
· Develop collaborative working relationships with vendors, non-profit groups, clubs and businesses.
· Propose and implement new ideas to improve the event planning and implementation process.
· Assist with managing on-site production and clean-up for events as necessary.
· When required by client or museum, event management and oversight to include physically working at event site during event operations, acting as liaison or lead staff member in charge to clients, vendors, contractors, and staff.
· Ensures overall guest satisfaction and reports complaints and/or concerns as required.
· Achieve annual budgetary revenue goals through management, team building, marketing, budget oversight, logistics, timelines and event evaluation.
· Coordinate appointments and visits to see space and scheduling of events on the master event calendar.
· Negotiate and monitor contracts for service providers and clients with an eye to quality and profitability.
· Prepare and submit vendor and client invoices for payment; ensure timely receipt of payment.
· Hire and schedule function managers and security staff for all rental and most internal museum events; provide effective training
· Performs supervisory tasks to include recruitment, selection, training, and planning, assigning, and directing work; appraising performance; managing performance and taking corrective action when appropriate; address employee concerns and issues.
· Make appropriate updates in Blackbaud for development purposes; maintain all functions materials and collateral.
· Maintain confidentiality of all records and client information.
· Other duties as assigned and as required.
· BA or BS degree or equivalent hands on training with minimum of 3 years of prior work experience, preferably in event sales or planning in a non-profit setting.
· Experience using Microsoft Office Suite required and use of Blackbaud database highly desirable.
· Proven ability to successfully plan, prioritize, and organize wide range of tasks
· Rigorous attention to detail and accuracy
· Prior supervisory or management skills required as well as experience in operations and accounting
· Excellent verbal and written communication skills, including proof reading
· Ability to manage multiple projects and delegate work assignments to a variety of staff and volunteers. Excellent interpersonal skills both in person and by phone, with high professionalism.
· Ability to initiate and accomplish projects with little supervision
· Entrepreneurial ability; interest in growing business components of the position
· High level of customer service and conflict resolution skills
· Strong work ethic, flexibility in a fast-paced environment required
· Ability to work on your feet (standing or walking) for up to 8-10 hours at a time.
