Description

The Executive Assistant to the Director provides a high level of executive support to the Director of the Hammer Museum. The incumbent manages the affairs of the Office of the Director, including but not limited to prioritizing and juggling multiple and frequently-conflicting deadlines, commitments, and projects. The Executive Assistant screens, sorts, and responds as appropriate to a high volume of telephone, written, and email communication; assists with any needs or requests from Board members, donors, VIPs, and Deputies, including preparing all materials for Board meetings; represents the Director’s Office to both staff and external constituents with a high degree of efficiency and poise; implements and streamlines office procedures and maintains files; and may coordinate the Director’s calendar, internal and external appointments, and meetings. The incumbent works in close concert with fellow Executive Assistant and provides mutual coverage as needed to provide seamless support to the Director. Working hours are 9:30am – 6:30pm.

Requirements: 3-5 years of experience working as an executive assistant to a high-level executive or institution head; demonstrated administrative skills; ability to work independently and follow through on all assignments with minimal direction; ability to handle multiple tasks and deadlines and work with a fluctuating and dynamic schedule; excellent communication skills and a polished and professional demeanor to interact graciously and effectively with donors, Museum trustees, corporate heads, UC officials, and diverse individuals on the University, city, state, and international levels, as well as with Museum staff; ability to discreetly and tactfully recognize and handle sensitive and confidential information; exemplary writing and proofreading skills; proficiency with Microsoft Outlook, Excel, and Word; advanced skills in creating charts, graphs, and tables. Preferred: knowledge of local, national, and international arts patrons, funders, leaders, professionals, dealers, and artists; Bachelor’s degree in art history, fine arts, business administration, communication, or a related field; prior art museum experience and knowledge of museum operations, standards, practices, and procedures.
