Director of Finance and Administration

Position Summary:

Reporting directly to the Executive Director, the Director of Finance and Administration serves as the Chief Financial Officer and Treasurer of the Association. The Gibbes Museum of Art has an annual budget of approximately $1.7 million, 16 full-time staff, and approximately 15 part-time staff. The GMA has recently completed a total renovation of its 110 year-old building, with a small addition, and a total renovation of an outside garden. Its typical sources of revenue include contributions from donors and members, gate receipts from visitors, tuition from summer camps, lectures, and workshops, fees from event rentals, and income from a Museum store and café.

Responsibilities:

  • Accounting and Financial Oversight: Professional accounting duties to include monitoring and updating internal controls, facilitating the external audit and 990, financial analysis and reporting, and supervising the Accounts Manager. Serves as staff liaison to the Board of Director’s finance/investment committee and provides advice to other committees as necessary in regard to fulfilling their fiduciary responsibilities.
  • Payroll Processing: Bi-monthly payroll processing utilizing ADP. Maintenance of leave, earnings deductions, and time reporting.
  • Reviews agreements, contracts, and grant/contributor documents, consulting with attorneys and others as necessary.
  • Other administrative activities as assigned by the Executive Director.
  • Budget Preparation and Monitoring: Plans, drafts, and coordinates approval of the annual budget and multi-year projections working closely with the Executive Director and department heads.
  • HR oversight and maintenance of employee records: Coordinates and annual benefits program to include Medical and Dental insurance, and 401K program.
  • Oversee Investments of various Restricted and Endowment Funds through an outside investment manager.

Education and Experience:

  • MBA and/or CPA required.
  • Four years’ nonprofit or government experience as a Finance Director or Controller, Ten years’ overall experience as a professional accountant. Human resources experience desirable.

Qualifications / Additional Information:

  • Demonstrated success in accounting and financial management including knowledge of Nonprofit Accounting.
  • Knowledge of laws and regulations relating to human resources; knowledge of employee benefit programs and group insurance and pension products.
  • Knowledge and experience with property and liability insurance, procurement practices, and operational business contracts.
  • Demonstrated ability to work and effectively interface with colleagues, board members, and the public.
  • Ability to operate as an effective tactical and strategic thinker yet effectively execute lower level “hands on” responsibilities such as journal entry preparation and entry into the accounting system.
  • PC proficiency is essential, including Microsoft office suite and Quickbooks.

Director of Development

The Franklin D. Roosevelt Four Freedoms Park is a Memorial to President Franklin Roosevelt built on Roosevelt Island, in New York City.  The Memorial was designed by Louis Kahn and opened to the public in October of 2012.

The Franklin D. Roosevelt Four Freedoms State Park is operated by the Four Freedoms Park Conservancy for the New York State Office of Parks, Recreation, and Historic Preservation under a Cooperative Agreement.  In addition to funding, operating and maintaining the Park, the Conservancy’s mission is to celebrate and honor the life and legacy of FDR and the Four Freedoms through educational initiatives and public programming.

Job Description

The Director of Development (Director) will be responsible for the ongoing creation, management, and execution of all aspects of the Four Freedoms Park Conservancy’s fundraising initiatives including corporate, public, foundation, and individual giving.  The Director will organize and implement all fundraising solicitations including membership, annual appeal, planned giving, capital campaigns, and special events.  The Director will prepare, write, and manage grants and develop a fundraising calendar.

In collaboration with the President & CEO, Board Chair, Board of Directors, and Development Committee, the Director is expected personally to solicit and arrange for solicitation of gifts in support of the Park.  The Director will provide leadership in executing long-term fundraising strategies, coordinating with all solicitors.

As steward of a newly opened public space, the Four Freedoms Park Conservancy must build effective development capacity and a broader constituency of loyal donors.  This position is a unique opportunity to lead, build, and grow this young organization in support of the new memorial, designed by Louis Kahn, honoring President Franklin D. Roosevelt and the Four Freedoms.  The Director must be committed to, and have a genuine belief in, the mission and values of President Roosevelt and the Four Freedoms.  The Conservancy retains the right to change or assign other duties to this position.

Primary Responsibilities

  • Create, implement, and expand all development initiatives and campaigns across corporate, public, foundation, and individual giving, including, but not limited to, membership, annual appeal, planned giving, capital campaigns, corporate campaigns, and special events.
  • Identify and solicit prospective donors, sponsors, foundations, and organizational partners.
  • Prepare, write, and manage public and private grants.
  • Manage a portfolio of current, dormant, and prospective donors with the goal of moving current donors up in class of giving, reactivating dormant donors, and securing first time gifts.
  • Develop a corporate donor program including preparation of proposals, sponsorship opportunities, reports, and communications with institutional prospects.
  • Oversee management of donor database system, maintain donor information and accurate recordkeeping, and manage correspondence.
  • Manage and coordinate solicitors in management and the Board of Directors.
  • Organize and maintain a fundraising timeline including campaigns, fundraising events, public and private grant deadlines, and donor reports.
  • Establish clear, specific, and measurable goals and programs and conduct the evaluation and reporting of progress on goals, adjusting strategies when necessary.

Event Planning

  • Coordinate fundraising and friend-raising events on all levels, including managing event committees, invitations, RSVP’s, donations, corporate sponsorships, vendors, day of set up, check in, and reporting.

Communications

  • Strategize, draft, and develop digital fundraising solicitations, including emails and content for development-specific social media campaigns.
  • Maintain and update the website, in collaboration with Director of Communications & Marketing, as it relates to development, ensuring all information is accurate, up-to-date, and in line with current digital fundraising strategies and legal requirements.
  • Strategize and implement onsite fundraising campaigns.
Requirements

Qualifications

  • Exceptionally skilled fundraising strategist with a proven record of success in engaging prospective donors and closing gifts.
  • Minimum of 5 years’ experience in planning, implementing, and managing non-profit development.
  • Dynamic and engaging, possessing exceptional interpersonal and communication skills, including superior and persuasive writing and research skills.
  • Strong leadership abilities, demonstrating effectiveness in conducting meetings.
  • Focused and highly motivated self-starter, able to work independently and as part of a team, collaborating with colleagues, solicitors, and vendors.
  • Able to accomplish all aspects of the development function from basic administrative tasks to high-level strategy.
  • Comfortable working for a small organization with minimal support staff.
  • Previous development database experience required.
  • Advanced knowledge of Microsoft Office, particularly Excel.
  • Familiarity with CMS (Squarespace or other), HTML, and MailChimp preferred.

The Major Gifts Officer will:

  • Discover and qualify new prospects
  • Build and manage a national portfolio of 75-100 prospects rated at $25,000 and above
  • Develop and implement strategies to solicit 5-7 figure gifts
  • Close 10-15 major gifts per year toward an annual, individual dollar goal
  • Staff Museum executives and volunteer leadership, including preparing briefings, talking points, and follow-up letters
  • Design and execute appropriate events for the cultivation and stewardship of major donors
  • Maintain a comprehensive and detailed knowledge of the Smithsonian’s infrastructure, policies, and procedures

The Major Gifts Officer will start with a portfolio of some existing donors, and be expected to discover, qualify, cultivate, and solicit new prospects. Travel may be required as well as evening and weekend work to execute and assist with a variety of special events, tours, and meetings. A passion for modern and contemporary art is ideal.


Requirements

Qualified candidates must have a bachelor’s degree and at least two years of front-line fundraising experience, preferably in a large cultural institution or arts-related nonprofit. Must have a proven track record of fundraising success, including successfully identifying cold prospects and bringing them through the cultivation cycle to close six-figure gifts and above. In addition to possessing superior writing and relationship management skills the successful candidate must be able to take initiative and have the ability to work independently. Experience with grant writing and corporate fundraising a plus.

Development & Campaign Associate [Bay Area Discovery Museum, Sausalito, CA]

POSITION SUMMARY

The Bay Area Discovery Museum is seeking a Development and Campaign Associate to support the Museum’s corporate relations and capital campaign. In the past 3 years, the Museum’s annual operating budget has almost doubled, in large part due to fundraising successes.

Last year, the Museum adopted a new strategic plan, which calls for reaching 1 million children annually and giving them a better start in life. We will do this 1) onsite through increased access and attendance by children, families, and teachers; 2) locally through our outreach and partnerships in low-income communities; and 3) nationally through our research center, the Center for Childhood Creativity.

The Development and Campaign Associate is an additional position on the development team, supporting the kick-off of the quiet phase of a capital campaign and helping the Museum reach its significant goals by supporting development efforts. The Museum understands that fundraising is a key enabler of its success; from the CEO to the VP of Education Strategy, we support the work of the development team. The development team functions dynamically and cross departmentally with education, marketing, finance, and the CEO.

This full-time, non-exempt position reports to the Senior Manager of Corporate Relations & Campaign Manager and may require occasional evening and weekend hours.

MAJOR RESPONSIBILITIES

Corporate Relations:

  • Assist with managing corporate partnerships, pledge fulfillment, recognition, stewardship, and acknowledgement processes.
  • Track proposals and reports to make sure they are completed and submitted on time.
  • Collaborate with marketing and exhibits departments regarding funder logo and name recognition onsite, online, and in print materials; communicate with funders to attain approval of all name and logo usages; track and report recognition.
  • Prepare talking points and other materials for Museum leadership for meetings with funders.
  • Research and identify new sources of corporate support.
  • Help research, write, and submit compelling funding requests.
  • Help write reports and acknowledgment letters for corporate partners.
  • Work with Donor Services Manager to ensure proper recording of corporate gifts and acknowledgments.
  • Act as liaison between corporate partners and Museum staff.
  • Greet and accompany corporate partners during on-site visits and events.
  • Maintain prospect and donor information and tracking in Altru.
  • Write related copy for newsletter and website as requested.
  • Opportunity to manage a portfolio of corporate prospects and funders.

Campaign:

  • Assist Senior Manager of Corporate Relations & Campaign Manager with campaign solicitation spreadsheets, tracking of solicitations, pledges, contracts, recognition, and campaign-related events.
  • Coordinate selected campaign cultivation activities, initiatives, and special events, including working with Donor Services Manager to develop invitation lists and monitor RSVP’s.
  • Maintain record of donor contacts in Altru.
  • Help maintain gift, contact, and prospect lists.
  • Assist in preparing and submitting reports as required.
  • Work with Donor Services Manager to research prospects.
  • Assist with special events and donor cultivation events on and off site.

Other:

  • Provide support for Museum events and priorities.
  • Other duties as assigned.
Requirements
  • BA or BS, or equivalent professional experience, is required.
  • 1 – 3 years’ experience in database management, word processing, Excel and Power Point.
