Description:
The Lecture Programs Coordinator will plan and facilitate a number of programs for the New England Aquarium community with a focus on connecting the public to inspirational people, events and opportunities. In particular s/he is responsible for the aquariums long standing lecture series that highlights work being done institutionally, nationally and globally in relation to protecting ocean health. This teammate will also support other programs that stimulate broad audiences primarily adults to envision ways they can engage to build understanding about ocean species, ecosystems and issues, and ways they can act to support healthy ocean ecosystems.

The Lecture Programs Coordinator facilitates planning and administration of lecture programs and collaborates with colleagues to ensure high quality logistical support to implement and host each one. Lecture programs support and make connections to other programs operated by the Education Department as well as other Aquarium departments and mission based initiatives. To be successful, the Coordinator must communicate clearly and professionally with both internal and external colleagues and audiences.

SCHEDULE

  • Tuesday – Friday; working between the hours of 9:00 AM – 5:00 PM for a maximum 25 hours per week.
  • This is a Part Time position.

ESSENTIAL FUNCTIONS

  • Continuously develop a pipeline of prestigious prospective presenters who can bring high levels of expertise and public appeal related to the Aquarium’s mission. Vet the pipeline with internal stakeholders to clarify who to invite to present for New England Aquarium Lecture Programs.
  • Build a schedule of program dates and invite and secure commitments from presenters for each date.
  • Gather information needed for marketing, such as a photo and bio for each presenter, and a title and description for each presentation.
  • Collaborate with the Communications & Marketing Department to create marketing materials for distribution through newsletters, listservs, social media, etc., to drive attendance.
  • Facilitate programs within approved budget limitations.
  • Ensure each program has an NEAq representative to introduce the program.
  • Ensure that every guest lecturer has his/her needs met. This includes scheduling hotel accommodations and ground transportation, as needed, and recruiting a colleague to greet and host each lecturer while on-site.
  • Implement evaluation for lecture programs:
    • Review program evaluation plans and tools (i.e. survey questions) annually, and revise them with input from colleagues.
    • Distribute surveys to audience members to gather data.
    • Review data and produce a summary of feedback and recommendations each spring and fall season.
  • Communicate with Development Department colleagues to facilitate trustee engagement with lectures.
  • Collaborate with Ed Dept. Assistant to ensure smooth logistics (i.e. space reservations, catering, A/V equipment, etc.).
  • Build relationships with colleagues from multiple aquarium departments including colleagues in the Center for Ocean Life, Communications and Development.
  • Other duties to assist programs as assigned
Qualifications:
QUALIFICATIONS

Minimum Training and Experience

  • Bachelor’s Degree or equivalent experience in education and/or science and 3 years of experience in the field of education/science/informal education and/or education program management.
  • An advanced degree in education or science is preferred

Knowledge, Skills and Abilities

  • Administrative experience required
  • Ability to work with minimal supervision
  • Exceptional interpersonal, organizational and communication skills, both oral and written
  • Ability to prioritize and manage multiple tasks
  • Significant training or experience in informal science education strongly preferred.
  • Up-to-date computer skills required. Web design skills are desirable.
  • Must be available for some evening lectures

This position is subject to successfully passing a Massachusetts CORI and SORI background check.
