Requirements

We seek someone intellectually playful, imaginative and innovative who will embrace our collection and audiences.   You will consider historic, intimate galleries and exhibition spaces as a challenge to be conquered not an impediment.   An appreciation for the place of museums in the community and in society will underpin your work.

Your educational attainment will include a B.A. in the arts or relevant design discipline with post graduate work preferred.  A combination of alternative degree, related training/education, credentials and/or experience may be considered.    The successful candidate will have spent 5 – 7 years in a relevant design discipline building a successful track record leading design processes and producing highly-creative and stellar design products in line with budgetary and architectural confines.   Work in a museum environment and/or work with decorative arts/design/material culture objects is a plus.

Executive Director [Catalina Island Museum, Avalon, CA]

Description

Founded in 1953, the Catalina Island Museum (www.catalinamuseum.org) is located in the quaint city of Avalon on beautiful Catalina Island. Just 23 miles from the greater Los Angeles metropolitan area, the Catalina Island Museum is dedicated to collecting, preserving and sharing the remarkable cultural and historical heritage of Catalina as well as enriching the experiences of residents and visitors through an offering of unique and compelling rotating exhibits, musical concerts, and other educational programs. Catalina Island Museum serves three primary markets – the City of Avalon (pop. 3,600), the greater Southern California region (Los Angeles County, Orange County, and San Diego County (population 10.33 million), and the thousands of national and international tourists visiting Catalina Island each year.

The current, 3,000 square foot museum is located within the historic Catalina Casino; however, a new 18,000 square foot, purpose-built museum is under construction and will open in Avalon in Fall 2016. The new building will allow us to better serve our mission statement through expanded programs and offerings to enhance all facets of our Museum. Catalina Island Museum will now be able to break from its physical constraints and address the increased demand by both locals and visitors for creative and thought-provoking exhibitions and event venues. Catalina Island Museum will become a new and exciting venue for wedding parties and other special events. The new museum will also have larger storage facilities, office space, and an expansion of its popular museum store. An exciting schedule of exhibitions is on the books to continue a string of gallery successes in recent years. The primary challenges ahead are to increase the museum’s prominence within the local community and visitor community, continue the creative sourcing of new exhibits, maximize the usage of these new facilities, raise sponsorships and major gifts, and operate the new museum as a sustainable nonprofit.

Building on the momentum that comes with the opening of a new and much larger facility, the next Executive Director will have the opportunity and challenge of working with the Board to continue creating vision, setting direction, raising funds, and managing the full range of responsibilities and tasks associated with the Museum. The Executive Director is responsible to the Board of Trustees for the overall operation of all facets of the Museum. S/He supervises a Controller, Director of Development and Membership, Director of Marketing and Public Relations, an Assistant Curator and Store Manager, and numerous volunteers.

Catalina is located 23 miles off the coast of Southern California and is part of Los Angeles County. Catalina Island is part of an eight island archipelago – the Channel Islands of California. The population of Catalina is approximately 4,000 people, 90 percent of which live in the island’s only incorporated city of Avalon. Catalina’s popularity as a tourist destination began in the 1920s under the stewardship of William Wrigley, Jr. Catalina’s history is forever linked to Native Americans, the Spanish Empire, Mexico, connection to Hollywood and movie stars, pottery industry, tourism, natural beauty, and recreation.

  • •Experience/Industry Knowledge and Functional Know-How – Possesses seasoned, hands-on, successful experience and knowledge managing the key business functions required to be a museum executive director. A minimum of five years prior experience as a senior member of an executive team. A CV of sustained senior leadership positions at multiple museums of similar size. Career route up the curatorial function. Our preference is for an experienced museum executive director. This preference lies in the fact that the new executive director needs to mentor and develop Board and staff and needs to source new exhibitions. A national network of museum contacts will be helpful. However, we are open to a director level candidate who is more than ready for that next career step to executive director.

Director of Accounting and Treasury [Perot Museum of Nature and Science, Dallas, TX]

SUMMARY:

Reporting to the Chief Financial Officer, the Director of Accounting and Treasury manages a team to provide day to day accounting activity for the Museum. The role is responsible for monthly close, accounts payable and all treasury management functions. The position requires coordination with an outsourced accounting service provider to maximize efficient use of resources.

KEY ACCOUNTABILITIES:

• The Director of Accounting and Treasury is responsible for executing the day to day accounting functions and serves as the departmental “go to” person for the museum staff on accounting matters in order to facilitate accurate timely monthly reporting and minimal post close adjustments.

• Responsible for the monthly close which includes working with outside vendor and improving current processes and systems to streamline accounting procedures.

• Ensures grants, contracts and agreements receive an appropriate level of  review during submission phase and monitors compliance during the execution phase to include forensic accounting where needed in order to ensure both parties compliance with financial terms

• Responsible for maintaining and improving internal controls that are required for a clean opinion on the annual financial audit.

• Responsible for accounts payable staff that processes and code all expenses including procurement card for all Museum staff.

Controller [Bay Area Discovery Museum, Sausalito, CA]

POSITION SUMMARY

The Controller reports to the CFO/Director of Finance and is responsible for performing accounting duties as well as coordinating the day-to-day operations of the Finance Department. The Controller assures the accuracy of all accounting information, prepares financial statements according to strict time deadlines, and assists the CFO on special projects. Ensures compliance with all applicable accounting procedures and standards in accordance with Generally Accepted Accounting Principles (GAAP) and the Financial Accounting Standards Board (FASB), as well as BADM’s internal policies, procedures, and contracts. This full-time, exempt position supervises the Senior Accountant and Staff Accountant.

MAJOR RESPONSIBILITIES

Accounting (95%)

  • Working under limited supervision, performs complex accounting duties including maintenance and analysis of accounting records and preparation of accounting schedules, reports, and financial statements.
  • Supervises the Accounts Payable functions of the organization to ensure timely and accurate payment of invoices.
  • Supervises the Accounts Receivable functions of the organization to monitor aging of outstanding balances and timely collection of amounts owed.
  • Assures that the duties, responsibilities, and authority of each managed employee are clearly defined, effective, and appropriately communicated to employees.
  • Assures that training and development needs are identified – including cross training efforts to ensure adequate backup exists for critical processes.
  • Model, develop, and maintain a team-oriented environment; maintain effective lines of communication between all staff and management.
  • Assists CFO with the preparation and maintenance of budgets and projections; provides budget reports to management and assists in interpreting the results; refines budgeting methodology and looks for tools to improve the accuracy and efficiency of this process.
  • Reviews all balance sheet accounts and subsidiary ledgers, ensuring reconciliation to the general ledger on a monthly, quarterly or annual basis as necessary; coordinates the monthly, quarterly, and annual close process.
  • Assists CFO with streamlining efforts by incorporating technology efficiencies whenever possible; participates in projects to research and develop recommendations on areas needing improvement.
  • Forecasts short and long-range cash requirements and obligations as a basis for recommending courses of action.
  • Maintains the accuracy of the general ledger and prepares appropriate journal entries.
  • Prepares fund equity schedule and reconciles fund balances; moving cash as appropriate.
  • Main liaison to the external CPA for the annual financial audit, including preparation of audit schedules, documentation review, and response to auditors’ requests.
  • Responsible for the preparation and maintenance of accounting procedures manuals; works to continually improve internal controls and achieve government and regulatory compliance.
  • Assists CFO with presentation of information to senior management, committees, and the Board.
  • Performs ad hoc financial analysis as required and other duties as assigned.

Other General duties (5%)

  • Provides backup to CFO and other finance/HR/IT staff members as needed.
  • Assists with major Museum wide events as required.
Requirements
  • Bachelor’s degree in Accounting, Finance, Business or related field required, MBA desirable.
  • At least five years of accounting experience; with demonstrated supervisory experience.
  • Not-for-profit and fund accounting experience preferred.
  • Tolerance of ambiguity, change, risk, rapid iteration and a fast-paced work environment; ability to manage pressure with sense of humor, perspective and strong prioritization, and positivity.
  • Working knowledge of manual and automated accounting systems required, experience with Blackbaud Financial Edge and/or Altru preferred.
  • Ability to multi-task, work well under pressure, prioritize, and meet deadlines.
  • Must be detail oriented and organized with time and data.
  • Excellent computer skills and experience using technology to streamline processes; advanced Excel skills.
