Accounting/Payroll Manager
The Boston Athenæum seeks an Accounting/Payroll Manager to provide management for the financial activity of the Athenaeum and ensure the integrity of financial data. This position plays a key role in annual tax filings and financial audits. This role organizes and manages restricted funding, including grants and contributions. The Accounting/Payroll Manager is also responsible for the payroll process for the institution, which includes biweekly processing, reconciliations, tracking, annual filings, and customer service.
Role and Responsibilities:
General Accounting Management: (35%)
· Produce and analyze monthly financial statements and reports.
· Responsible for monthly and annual closings.
· Provide budget variance reporting.
· Manage accounts payable, accounts receivable and cash receipts.
· Monitor and review purchasing to ensure accuracy and proper documentation.
· Review general ledger reconciliations for accuracy.
· Review investment ledger entries and reconciliations.
· Perform quarterly endowment unitization and maintain records.
· Prepare and file sales tax reports and quarterly financial surveys.
· Develop accounting methods and internal controls.
Payroll Management: (25%)
· Prepare payroll by coordinating payroll information with Human Resources and/or department managers.
· Work collaboratively with Human Resources and Benefits to implement payroll updates associated with personnel changes.
· Process bi-weekly payroll for exempt and non-exempt staff in ADP and review and analyze payroll reports for accuracy.
· Distribute checks.
· Reconcile bi-weekly and quarterly payroll reports to the general ledger.
· Researches and responds to employee questions.
· Prepare and distribute 1099s and W-2s at year end.
· Track vacation and sick leave balances.
· Implement new systems for improved payroll management and create efficiencies in the payroll process.
Annual Audit: (10%)
· Work with external auditors on the annual financial audit.
· Prepares financial statements and schedules as requested.
· Responds to and resolves audit questions.
· Coordinates auditors’ requests with employees as necessary.
Restricted Funding Management: (10%)
· Work with department managers to reconcile and review budgets related to grants, endowments, and other restricted funding.
· Work with Development to ensure that restricted funds are appropriately recorded upon receipt.
· Develop systems and formats to support efficient recording and tracking of restricted funds.
· Maintain records and spreadsheets related to fund carryovers and projects.
Annual Tax Form Preparation: (10%)
· Works with external audit firm to prepare tax filings including IRS forms 990 and 990-T, MA Form PC and related schedules under supervision of the Director of Finance.
Financial Operations Analysis: (10%)
· Develop reports and provide analysis for various projects as assigned.
· Analyzes financial operations to determine efficiencies.
· Performs institutional research from a financial perspective.
Qualifications and Education Requirements:
· BS in Accounting or Finance or related field.
· Minimum of 5 Years of accounting experience, management experience preferred.
· Knowledge of GAAP.
· Intermediate to advanced MS Office Skills.
· Ability to manage multiple priorities and projects at a time.
· Knowledge of financial and payroll systems.
· Payroll experience.
· Excellent communication skills and customer-service oriented.
· High degree of confidentiality and professionalism.
· Strong organizational skills and attention to detail.
· Strong analytical skills.
